Welcome to Scholio, a comprehensive school management platform owned and operated by Romana Sync. We are committed to protecting the privacy of our users, including school administrators, staff, students, and parents. This policy explains how we collect, use, and safeguard your information.

2. Information We Collect

We collect information required to provide academic and administrative services:

• Personal Identity Information: Name, Date of Birth, Gender, Blood Group, and Aadhar Number (for institutional records).
• Contact Information: Phone numbers and physical addresses of staff, parents, and students.
• Academic Records: Class, roll numbers, attendance, examination results, and fee records.
• Professional Data: For staff, we collect qualifications, employee IDs, and salary details.
• Media: Profile photos uploaded by users or school admins.
• Device Information: We collect FCM tokens (for notifications) and unique Device IDs to ensure secure account binding.
• Location Data: Real-time GPS data is collected to provide school bus tracking for parents even when the app is closed or not in use. This is essential for safety monitoring and route optimization.

3. How We Use Your Information

• To manage student attendance, fees, and academic dossiers.
• To facilitate encrypted communication via push notifications.
• To maintain a secure faculty directory and identity parameters.
• To provide institutional safety via real-time bus tracking.

4. Data Sharing and SaaS Isolation

Institutional Isolation: We use a strict Multi-Tenancy (SaaS) architecture. Your data is isolated by a unique schoolId. Data belonging to one school is never shared with or visible to another school.

Third-Party Services: We use Google Firebase (Firestore, Auth, Storage, and Cloud Messaging) to provide our services. We do not sell your data to any third-party advertisers.

5. Permissions We Request

• Camera/Gallery: For profile identification and document uploading.
• Notifications: For real-time institutional alerts.
• Location: Used for real-time school bus tracking. Data is collected even when the app is in the background or closed.

6. Children’s Privacy (COPPA Compliance)

Scholio is used by schools to manage student data. Data of students under 13 is uploaded by the School Administration or Parents. We do not allow students to create accounts independently; all accounts are managed by the verified institutional administrator.

7. Data Security and Deletion

We use industry-standard SSL/TLS encryption for all data transfers. Users can request account deletion; upon verification by the school administrator, all personal records will be removed from our active databases.
